CMS Board Meeting
Time: 8/22/24 8pm – 9:15pm via Zoom
Attendees: Christian Kim(Chairman), Mia Myungja Lee(President), Taik Lee(IT Manager), Rosa Hyunsook Choi(Treasurer), Mi Hyeon Kim(Secretary), Audrey Lee (New board member)
1.Tax report: Mia sent the report files via email to the Board.
2. Treasurer Transition: Hyun-Sook Choi will officially transition to the role of Treasurer, handling financial matters from now on.
3. Bank Change Proposal: There is a suggestion to switch from US Bank to Uni Bank, which is more cost-effective and widely used in the Korean community. Accountant Kim Seong-Hoon also highlighted difficulties with the current bank. Please vote on this proposal.
Mia: The Accountant said that it is hard to make tax reporting with U.S. bank system, so he recommended changing the bank from U.S bank to Bank of Hope.
Taik Lee: Thinking of managing 2 bank accounts
Mia: using the “Xero” program, but, US bank does not accept it.
Pay: Tax reporting costs $750/year it is difficult to change accountant
Christian Kim, Taek Lee: let’s make the excel file and send to our accountant
Audrey: "If we provide access, it’s possible to create W2s using QuickBooks."
Mia: "As the treasurer, Hyunsook will help handle the accounting work for us, it could be very helpful!”
Hyunsook: "Perhaps we should review the bank statements to organize our accounting management, such as, equipment, wages, and all other expenses."
Mia: "It's difficult without an accountant."
Christian and Mi Hyeon: "An accountant is needed for payroll and to ensure company transparency."
Conclusion:
Mia: "Let's put the bank change on hold for now."
4. Dr. Audrey Lim has accepted the role of dental board director. Dr. Kevin Lee will continue as the dental director for clinic operations.
Welcomed Dentist, Audrey Lee as a new board member
Audrey: practicing as a dentist and working as a UW Instructor for 2 years, wants to help develop the CMS dental clinic department.
5.South Clinic Sublease:
Christian: we pay for the South clinic rental payment of $1600 a month and recently, a massage therapist wanted to use the south clinic 4-5 times a month.
I finished the interview and worry about liability issue and qualification.
Mia: I checked with them and the license is active.
Audrey: I recommend promoting the availability for South clinic sublet.
Mia, Christian: It is hard to allow them to use our clinic because of billing, liability and clinic maintenance issues.
Hyunsook and Mi Hyeon: Opposed subleasing for South clinic because of cleaners as a health care clinic and want to focus the maintenance for the clinic.
Mia: Will think for using the grant money to maintain the south clinic.
Conclusion:
Most of the board members oppose the request for sublet at this time.
5. Ongoing Grants:
Mia: Verdant Grant: Used for dental equipment and staffing. Still have more grant use for dental clinics, recommend thinking about opening the south clinic.
Audrey: Dr. Kevin said, "if we open the dental clinic in the South, it is really hard to find the dentist volunteers even though we have dental equipment."
Audrey: We can recruit the dentist from churches in the south area, many dentists don't want to work on Saturday, so recommend opening Friday Free Dental clinic.
Hyunsook: I think that if we open Dental clinic in South, it is not hard to recruit the Dentist volunteers
Mi Hyeon: If we have a dental grant, hosting some education programs for our community.
Hyunsook: The grants to be used in a well rounded manner and effectively. I can help CMS when I am working as a treasurer and will check all our CMS accounting management.
Audrey: I want to know how we let other organizations use the South clinic during weekdays when CMS is not open.
Christian: We let Nest Mission use 1 day a week, Loving Angels use 3 times a week.
Christian: I asked the tenants for cleaning after using our clinic, but if we hire someone who can clean the south clinic, it would be great.
Mi Hyeon: If the Verdant grant allows us to buy the equipment, we can buy the essential equipment to set up and continue to build the Dental clinic. Also, I recommend that we use grants for educating people directly, such as medical seminars, health campaigns, etc.
Hyunsook: If we can use the grant money for south clinic dental services, I hope to use the money for maintenance as well.
Mia: I think we can absolutely use the money to maintain our clinic.
Conclusions and general check in for clinic management.
Taik: website management is going well, but the email system needs to be fixed some, will work on that.
Mia: Dr. Audrey, as a new CMS board member, she needs to make a CMS email and please check our board meeting board.
Last year the CMS clinic participated in the WHAA conference. So, if our staff wants to participate in the conference, we will give a scholarship for the conference fee. I will send the details for the WHAA conference in a few days.
Audrey: Want to know if we can get dental malpractice insurance covered as a WHAA member.
Mia: will check on that
